Full-time | 12-month contract (with option to extend)

Salary: $90,000 + super

Start: January 2026

Location: The TOP office is in Fortitude Valley, Wynnum Fringe Festival and Augathella Spiegeltent are in Wynnum. This role will be a combination of in office, on site and remote work. 

Some evening and weekend work required during peak periods

About the Role

 

The Operations & Administration Manager plays a critical role in the day-to-day running of Tom Oliver Productions. This role exists to remove operational and administrative workload from the CEO / Artistic Director and core team, ensuring the business runs smoothly across multiple projects and that opportunities are not missed.

 

This role is the first point of contact for the organisation and works closely with senior leadership to support delivery, partnerships and growth.​

 

Key Responsibilities

 

Operations Management

 

 

  • Oversee day-to-day operations across all projects

  • Maintain master calendars, timelines and deadlines

  • Track deliverables, milestones and follow-ups

  • Coordinate contractors, suppliers and venues

  • Ensure permits, insurance and compliance requirements are met

  • Identify inefficiencies and implement improved systems and workflows

Administration & Executive Support

 

  • Manage the CEO’s inbox and calendar

  • Triage communications and prioritise action

  • Prepare agendas, notes and follow-ups

  • Coordinate travel, meetings and schedules

  • Ensure key decisions are actioned

Finance & Business Support

 

 

  • Issue and track invoices

  • Maintain contracts and agreements

  • Support budget tracking and reporting (with CFO & Director of Partnerships oversight)

  • Assist with grants, acquittals and reporting

​

Communications & Front-of-House

​

  • Manage the general enquiries inbox

  • Answer and return office phone calls

  • Monitor and respond to social media DMs

  • Route enquiries to the appropriate person

  • Ensure all public enquiries are responded to within 24 hours

 

Social Media & Content Support (Light)

​

  • Schedule posts using supplied assets

  • Maintain consistency across platforms during busy periods

  • Update event listings and announcements

  • Basic Canva edits where required

​

AI & Systems

 

This role requires confidence using AI tools to:

 

  • Streamline communications

  • Summarise meetings and documents

  • Create task lists, timelines and SOPs

  • Reduce repetitive administrative work

  • Improve overall workflow efficiency

​

You don’t need to be technical — just practical, curious and proactive in using AI to work smarter.

​

About You

​

You are:

 

  • An experienced operations, administration or coordination professional

  • Highly organised, proactive and calm under pressure

  • A confident communicator (email, phone and social media)

  • Comfortable managing multiple projects simultaneously

  • Familiar with Canva and social scheduling tools

  • Confident using AI tools to improve efficiency

  • Interested in working within arts, events or creative industries

Working Arrangements

​

  • Full-time role on a 12-month contract, with option to extend

  • Hybrid working arrangement (office-based and flexible remote work)

  • Strong on-site presence required during peak delivery periods

  • Evening and weekend availability during festivals and major events (TOIL provided)
